Character Visit Contract

Please review our character pricing, policies and package information below. Make your selections on the form and our team will be in touch within 24 hours to confirm availability and send a link to pay the deposit to finalize your reservation. Character Visit Contract

By submitting the contract below, you are agreeing to our TERMS AND SERVICE AGREEMENT. It is your sole responsibility to ensure you have read and understand all policies PRIOR to booking.

*If you are unsure of the final number of guests, no worries! Please provide an estimate for our planning purposes and let us know more accurate numbers a week or two prior to your party date. We only count “kids who will participate”. Adults, older siblings, relatives or friends, babies, etc would not be included in this count.

ADD-ONS:

I HAVE READ AND UNDERSTAND THE FOLLOWING STATEMENT: More than 15 kids participating in activities for 60, 90 & 120 MIN VISITS will require the hiring of a second character.(required)

I HAVE READ AND UNDERSTAND THE FOLLOWING STATEMENT: Mascot characters, masked superheroes or mermaid tail characters require an assistant due to limited vision and/or mobility for an additional $60/hr.(required)

I HAVE READ AND UNDERSTAND THE FOLLOWING TRAVEL POLICY: Travel fee is based upon mileage from our home base in southern St Augustine. Parties/events that take place outside a 15 mile radius from our home base will be subject to a $0.75/mile travel fee round trip. Visits/parties with multiple characters or staff members may be subject to additional mileage charges. Please inquire before booking if you would like a quote. (required)

I HAVE READ AND UNDERSTAND THE FOLLOWING STATEMENT: All party activities MUST TAKE PLACE INSIDE in AC unless other arrangements have been preapproved at time of booking. If approved, characters must remain under a cover, shaded area and on a paved surface for the duration of the visit. If our staff arrives and activities are planned outside without approval, they will politely ask to move indoors. Failure to accommodate will result in immediate cancellation of the party, without refund.(required)

I HAVE READ AND UNDERSTAND THE FOLLOWING STATEMENT: Bounce House Clause: (if applicable) in our experience, we cannot compete with the presence of a bouncy house. While our team will try their best to still be interactive with the guests, we cannot force guests to ignore a bounce house. During the time of the party, we recommend deflating your bounce house, or encouraging guests to participate in activities during the duration of the party.(required)

What’s Next?

Please allow 24 hours for our team to review your booking form. If we are available for your party date, we will confirm via email and send an invoice for the $75 non refundable deposit. The deposit MUST be received to finalize your reservation.

If we are not available, we will contact you to discuss alternative party dates or time frames. We typically cannot accommodate any requests with less than 48 hours notice.

Once a booking is complete, we will reach out again a couple weeks prior to your scheduled visit to collect the remaining balance. TIPS FOR A SUCCESSFUL PARTY

All characters arrive on site to park approximately 15 minutes before your scheduled party time, but will knock on your door right at the scheduled arrival time. Once a party is scheduled, last minute changes to arrival time are difficult to accommodate. Our schedules often include multiple parties so changing an arrival time the day of a party is often not an option.

Please remember, all activities must be scheduled to take place inside as the hot Florida weather can be quite overwhelming in full costume. Our performers should be focusing on crafting a magical experience for the birthday child and their guests, not struggling through the heat to prevent passing out. The safety of our performers is of utmost importance.

If your visit has been approved to be outside, kindly note, our performer must remain on a paved surface and under a covered area for the duration of their visit. Having a pavilion or covering helps prepare for unpredictable Florida weather, including potential rain or bright sunshine.

Our performer(s) have the contact numbers you have provided and will call you in the event of any issues with finding the party location or parking. Please keep your phone on and near you close to your party start time. Please do not expect a phone call unless there is an issue.

Help Us Preserve the Magic

We try to preserve the magic by not letting little guests see our characters entering or exiting cars. Our performers tend to park further away, so don’t fret if you do not visibly see their car outside. We would appreciate your help in keeping your younger guests inside the party venue during the scheduled entrance and exit times. This is why we recommend having the performer arrive at least 30 minutes after your party has started.

In the event that a little guest is disruptive or tries to “disprove” the character (i.e. pulling on costumes or wigs, yelling un-necessarily, saying rude or offensive remarks, etc) kindly remove the child from the character environment. Help us preserve the magic for those who do “believe” by providing a safe and positive environment for our performers to do what they do best.

Schedule of Activities

Upon arrival, the character should greet the birthday child by name and ask for a place for story time (or Combat Class for any of our superheroes). After reading, the character will proceed with activities if booking a longer visit (60, 90 or 120 minutes). Next, we recommend photos: a group shot, individuals with each guest and, of course, a family photo. Finally, singing happy birthday and cake should be the last thing before the character departs.

Please provide an area for story time (a couch or sitting area works great) and an open table for activities if scheduling a 60/90/120 minute visit. Also, have a spot for photos in mind to make efficient use of time for royal portraits. All visits conclude with singing happy birthday because cake is always the best distraction for when it’s time for the character to leave.
